Lost, Missing or Wrong W-2? What to Do

W-2 not received, lost or showing the wrong numbers? Here is who to contact, when to involve the IRS and how to file without a delay.

What do I do if I lost my W-2 or never got one?

Start by contacting your employer, because they are required to send you a W-2 and can usually issue another copy.

Employers generally must furnish W-2s to employees by a deadline early in the year.  If yours has not arrived, first check the mailing address your employer has on file, and check whether your employer offers the form through an online payroll portal.  Many do.

If you still have nothing, ask the employer directly and keep a note of the date and who you spoke with.  That record matters if you need to go further.

How do I get a copy of a W-2 that did not arrive?

Contact the employer first, then the IRS if the W-2 still does not come.

The IRS generally expects you to try the employer first.  When you contact the IRS, you will be asked for your employer's name, address and phone number, along with details about your pay and the dates you worked.  Your final pay stub is a very useful reference.

Watch out for scams.  The IRS first contacts people by mail, and no one legitimate will demand payment by gift card or threaten you by text over a missing W-2.

  • Ask your employer or its payroll provider for a copy
  • Check any online payroll portal for a downloadable W-2
  • Gather your last pay stub of the year, which shows year-to-date pay and withholding
  • If the employer does not respond, contact the IRS for help
  • Do not let the filing deadline pass while you wait; talk to us about options

Wrong numbers

What if my W-2 is wrong?

If a W-2 has the wrong name, Social Security number, wages or withholding, ask your employer for a corrected form, called a W-2c.

Look closely at every box.  Compare the wages and tax withheld to your last pay stub, and check that the name and number match your Social Security card.  A wrong digit can cause a rejected return, a mismatch with Social Security records and a delay in your refund.

Errors usually come from a typo, a change of address or name, or a payroll mistake.  The employer, not you, is the one who issues the corrected form.

Deadlines

Can I file my taxes without my W-2?

In some cases you can, using your final pay stub and other records, but it is riskier and we would rather try to obtain the form first.

The filing deadline still applies even if the W-2 is late.  If time is running out, you can ask for more time to file, though an extension does not extend the time to pay any tax owed.  See filing late or getting an extension for how that works.

Who has to send me a W-2?

What is a W-2c?

A W-2c is a corrected wage and tax statement.  Your employer issues it when the original W-2 contained a mistake.

Can I use my last pay stub to file?

A final pay stub shows year-to-date pay and withholding and can help in an emergency, but it may not match the W-2 exactly.  It is better to get the real form when possible.

Does a missing W-2 delay my refund?

It can.  Filing without it, or with wrong figures, may cause a delay or a later correction.  Getting the right form first helps avoid that.
